Introducing the documents module and how to set access.

What it is for

The documents module is the place where a company stores core documentation that should follow the company through time.

Common use cases includes:

  • General meetings

  • Board meetings

  • Shareholder agreements

  • Company presentation / pitch deck

  • Funding

  • Data room (Due diligence)

Bulk import files and folders

The quickest way to get going is to import and unpack a zip file with all the folders and files that you want to be in OwnersRoom. See more info om how to do this, here.

Each folder's access can be limited using the access groups that are controlled from the Network module.

Admins & SuperAdmins have full access to all files and folders. They are the ones who can change which groups that can access a folder.

To change the access of a folder, click 'Manage access' in the drop down menu on the right side of a folder.

When creating a new folder, you'll be prompted to select the access levels.

There are 3 settings for access control of folders:
1. All members/same as parent folder:
Anyone who's been provided access to the parent folder will be able to access this folder. Using this on the root level, or in sub-folders, where the folder on the root level uses this setting, will make it available to anyone with access to the investor portal of the company.

Very useful when you want to set the access control on the root level and be confident that all folders below will use the same setting.

2. SuperAdmin & Admins only:
This setting will limit anyone who's not an admin & SuperAdmin from accessing the folder and its contents.


Useful when you want to setup a structure and wait until everything is ready before making it available to other groups.

3. Selected groups:
This setting will limit anyone who's not part of the group(s) specified (or an admin/SuperAdmin) from accessing the folder and its contents.

Very useful to distinguish access in a flexible way, e.g. to setup a document space for the Board of Directors.

Folders that a person cannot access will not be visible to the user.

Sign documents digitally

PDF files can be sent for digital signing directly from within the folder structure, from the dropdown menu on the right hand side of the file. See more on how to send documents for signing, here.
